Setting Up Weekly Alerts

Weekly alerts keep your team aligned by sending automated email summaries of your strategic plan status. Each recipient gets a personalized summary highlighting what matters most to them.

Accessing Alert Settings

Navigate to Weekly Alerts from the dashboard. This page is available to owners and admins.

Configuring Alert Schedule

Set when alerts should be sent:

  1. Enable Alerts — Toggle to turn weekly alerts on or off
  2. Day of Week — Choose which day to send (Monday through Sunday)
  3. Time — Set the hour and minute
  4. Timezone — Select your organization's timezone (alerts are sent in your local time)

Click Save Settings to apply.

Recommendation: Many organizations send alerts on Tuesday mornings. This avoids Monday catch-up time and ensures the summary is read early in the work week.

Who Receives Alerts

Alerts are automatically sent to:

  • Organization owners — Always receive the full summary
  • Admins — Always receive the full summary
  • Consultants — Always receive the full summary
  • Priority assignees — Members assigned to specific priorities (if they opt in)

Assigning Priorities to People

Below the alert settings, you will see your key priorities listed. For each:

  1. Click Assign next to a priority
  2. Select a team member from the dropdown
  3. Add optional notes about expectations or context
  4. Toggle Receive Weekly Alerts — this controls whether the assignee gets emails
  5. Click Save

Changing Assignments

To reassign a priority, click Remove on the current assignment, then assign the new person.

What the Email Contains

Each weekly email includes:

  • Key Challenge — The central strategic question from LEARN
  • Key Insights — Summary of critical findings
  • Strategic Priorities — All 5 priorities with status indicators
    • Priorities assigned to the recipient are highlighted with an "ASSIGNED TO YOU" badge
  • Leadership Message — The What/Why/How/How Much framework
  • Action Plan — Current action items
  • High-Risk Alerts — Any risks or issues that need immediate attention

Manual Send

Admins can trigger an immediate summary send by clicking Send Now. This is useful for:

  • Testing the email content before enabling automatic sends
  • Sending an out-of-schedule update after a major strategic session
  • Onboarding a new team member who needs to catch up
